Position Purpose

Provides students with advice and guidance in program, course and career choices in order to determine their needs and help them succeed and progress well in their studies. Responsible for identifying at-risk students, following up with these students and providing students with advice and information on policies, procedures and the many services available to them. Develops a plan for creating a climate of trust and a special bond that promotes student retention and success. Manages operations related to academic activities (evaluation of academic performance, convocation, admissions, merit scholarships, national and international exchange programs, etc.) and supervises academic assistants responsible for these duties. Takes part in activities related to orientation and recruitment as well as in promotional activities. Serves as a resource person for undergraduate program staff, departmental academic assistants, the administrator of undergraduate studies and the vice-dean, academic.

Essential Qualifications

In-depth knowledge of secondary and postsecondary programs and academic policies normally acquired through postsecondary education, or equivalent experience
Experience analyzing academic files
Experience interpreting and applying policies and procedures
Experience providing customer service in areas related to academic matters
Experience using computer systems and applications such as SIS, Windows, word processing software, databases, spreadsheets, email and the Internet
Experience in bilingual administrative writing
Excellent communication skills (including presentation skills), interpersonal skills and problem-solving abilities
Good organizational skills and the ability to work well under pressure and meet firm deadlines
Ability to work well as part of a team

Client Service Orientation: Help or serve others to meet their needs. This implies anticipating and identifying the needs of internal and external clients and finding solutions on how to meet them.
Teamwork and Cooperation: Cooperate and work well with other members of the team to reach common goal(s). Accept and give constructive feedback. Able to adjust own behaviour to reach the goals of the team.

Other competencies:

Bilingualism Ė French and English (spoken and written); to be considered for this position, candidates must be rated at the Low Advanced or higher proficiency level for both oral comprehension and reading comprehension in their second official language. The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.
