Reporting to the Global Entreprise Services GES team Lead in Montreal, the incumbent revises various documents to ensure high quality, and performs various general secretarial duties and administrative tasks. The incumbent also assists the GES team in order to contribute to the smooth functioning of the group.
Global Enterprise Services (GES) is responsible for the delivery of TMX operations, technology, transaction services and procurement and plays a crucial role in enabling TMX to achieve our vision of being a technology-driven solutions provider that puts clients first. The key current and ongoing GES initiative is to evolve these functions into an integrated, efficient, effective and client-focused support organization for all of TMX.
Key Accountabilities:
1. Conducts various follow-ups, mainly by communicating with the persons responsible in the department in order to ensure the receipt of documents, events and meetings planning.
2. Contribute to producing and distribution of reports, department memos and notices.
3. Prepares and finalizes (and translates, if necessary) various documents.
4. Revises and ensures the quality of all documents issued by the GES group.
5. Makes the necessary reservations for trips by the GES employees.
6. Ensure billing of expenses related to the GES employees.
7. Compiles various statistics and controls the quality of the time sheets of theGES employees.
8. Contributes to budgets preparation and monitoring.
9. Carries out any other related tasks as assigned by his immediate superiors.
Must Have Skills:
• Minimum of one (1) year experience as secretary along with revision of documents
• Vocational diploma in secretarial studies
• Discipline and attention to detail
• Impeccable French and English grammar
• Organization and priority management skills
• Respect for deadlines
• Cooperation and teamwork
• Communication skills
• Autonomy
• Discretion
• Knowledge of Microsoft Office Suite (Word, Excel, Access)
• Written and spoken bilingualism, French and English
• Knowledge in IT
Assets:
• Knowledge of securities field considered
• Vocational diploma in secretarial studies
