They are near-shoring from their New York office and moving their operations to Montreal which is exciting news! The opportunity :

The Accounts Payable Coordinator - Junior is responsible for the payment of general expense invoices and employee expense reports for all US entities as well as the payment and monitoring of their fixed assets. AP is also in charge of inputting accounting entries related to expenses in the entities’ general ledger. The team controls incoming invoices and expense reports and make sure of the respect of the bank and Investment Bank Policies and Procedures. It communicates with vendors and other departments on outstanding invoices and creates reports and support information to be analyzed by the other departments.

What you will do ?

1) Payment of invoices: Checking all incoming invoices for correctness and adherence to bank policy. Input of these invoices into the Oracle AP system as well as printing of checks once invoices have been approved by manager when he / she inputs, or approve invoices when entered by the A/P staff. Average of 100-150 invoices per week.

2) Investigation and research: Focus will be on examination of Employee Expense Reports for adherence to company policy. Applicant must have strong analytical skills. Also responsible for contact with outside vendors and other areas of bank regarding outstanding invoices. Creation of excel spreadsheets for research by other departments.

3) Manual Journal Entries: Input of manual journal entries into bank’s general ledger through Oracle system.

4) Fixed Asset System: Responsible for input and maintenance of Fixed Assets in the Oracle tool and reconciliation of balances to the general ledger.

Key Internal contacts : IT Financial Control and US Administration – Ability to interact with this department in the processing and handling of IT invoices. Employees from all the department for the reimbursement of their expenses and payment of invoices.

Key External contacts : Helps resolve payment disputes by providing information to the vendor’s departmental contacts.


Qualifications :

- College – Accounting degree
- Minimum 2 to 3 years of experience in similar roles

More about role:

The Accounts Payable (AP) department manages the payment of invoices for general expenses and employee reimbursements across all US entities. They are also responsible for handling fixed asset payments and monitoring them. Additionally, AP inputs all-expense-related accounting entries into the general ledger of the entities.

The AP team ensures that incoming invoices and expense reports adhere to the policies and procedures of the bank and Investment Bank. They liaise with vendors and other departments to resolve outstanding invoices and provide reports and supporting documentation for analysis by other departments.
This position will report to the Manager of the Accounts Payable Department, who is based in the USA.

Responsibilities of the role include approving invoices entered by the AP staff, preparing escheatment reports for various States, managing fixed assets and prepaid modules, reconciling these modules with the general ledger, preparing documentation for account certification, assisting with expense research and analysis, and interacting with senior management.

The senior AP coordinator will be responsible for approving payment requests and employee expense reports. Additionally, senior personnel may be authorized to approve expense reports. (he will do entries in the system also)
